Talkify / Integrations / Simpro
Early access · Built in Christchurch

The AI receptionist that writes the job into Simpro.

Your office cannot answer four lines at once, and your technicians should not be trying to. Talkify is an AI receptionist for Simpro: it answers your business phone in a real Kiwi voice on the first ring, recognises the person ringing even when they are a contact under a commercial account, works out whether it is a breakdown or a request for a price, and writes the whole thing into Simpro with the customer and the site already linked. It can schedule the visit against a technician and raise the quote too, if you want it to.

The Simpro connector is in early access. It is built and it is switched on per account, one business at a time, so we sit with you while it goes live on your build rather than leaving you to it. Put your name down and we will wire yours up and walk you through it.

An AI employee for your Simpro build.

Everything it does, without a lunch break, a sick day or a second thought about answering at 7pm on a Sunday.

From the phone ringing to the job on the board.

Six things happen while your office is on the other line. They do none of them.

01

It answers, properly

On the first ring, in a genuine New Zealand voice, using your business name and your greeting. No hold music, no menu, no "press one for". Five people can ring at once and all five get answered.

02

It knows who is ringing

The number is matched against your Simpro customers and the contacts underneath them before the agent speaks. The facilities manager for a commercial account gets greeted by name, and the call is tied to the right company.

03

It works out the job

Breakdown or a price for a fitout. Whether the site is live. Which building, which floor, whose asset. Whether you cover it. The questions your best coordinator would ask, asked in the same order.

04

It writes it into Simpro

A lead with the customer and the site created and linked properly, carrying the name, the number and the fault in the customer's own words. Not a note for somebody to re-key at six in the evening.

05

It schedules the visit

Where you switch it on, the agent reads your board and offers only times a nominated technician is genuinely free, inside the hours you set, with travel time between jobs. It re-checks the slot in the second before it writes, so it cannot double-book anyone.

06

You get the whole call

A text summary within seconds, and the full transcript and recording kept against the job. If it was urgent, the call is warm-transferred to whoever is on call, with the details already gathered.

You decide what it is allowed to touch.

Five separate switches, not one. Turn on the ones you want and leave the rest off, and the agent is only ever given the abilities you ticked. Change your mind at four in the afternoon and it takes effect on the next call.

Know who is ringing

The number is matched against your customers and their contacts before the agent opens its mouth, so a property manager ringing about one of thirty sites is recognised as themselves rather than as an unknown mobile.

Answer "when is someone coming?"

The most common reason an existing customer rings back, and the one that pulls a coordinator off what they were doing. The agent reads the job and its next scheduled visit straight out of Simpro.

Take the enquiry as a lead

Customer, site and lead, created and linked the way Simpro insists on, with the fault in the customer's own words. It lands in your pipeline, not in an inbox.

Take quote requests

The agent gets the scope in proper detail and raises it in your quoting pipeline, ready to price. It never gives a price itself and it never approves anything. Off until you turn it on.

Schedule the visit

Only inside the hours and days you set, only against the technicians you tick, only where the board is genuinely clear, with your travel time kept free either side. Off until you turn it on.

Nothing you did not tick

An ability you leave off is not switched off in the agent's head, it is not there at all. It cannot be talked into moving a scheduled visit, changing a job, or quoting a price, because none of those exist for it.

Built for how Simpro actually works.

Simpro is a bigger, stricter system than most, and a connector that ignores that produces half-made records for somebody to tidy up. Three places where the detail matters.

The caller is usually a contact, not the customer.

On commercial work the account is the company and the person on the phone is a contact underneath it, with a mobile that is nowhere on the company record. A lookup that only checks customers greets your best client's facilities manager as a stranger. This one checks both, and ties the call back to the right account either way.

A lead needs a real site.

Simpro will not accept an enquiry floating in space: it wants a customer and a site, properly linked. So the agent is told to get the street address and the town before it finishes the call, and it builds all three. If a caller will not say where the work is, it saves them against the customer with a follow-up flagged for today rather than inventing an address and sending a van to it.

A visit belongs to a named technician.

There is no unassigned slot in Simpro, so the agent will not pretend there is. You tick who it may schedule, it offers a time only when one of them is genuinely free, and the block goes on against that person. Tick nobody and it offers nothing and takes a message, which is the honest answer rather than a promise you cannot keep.

More than one company on one build?

Fine. Everything the agent reads or writes is scoped to the company you choose, so a job never lands under the wrong entity. Press Test connection and it lists the companies on your build with their numbers so you can pick the right one before you switch anything on.

Live line · Answering right now

Do not take our word for how it sounds.

Ring our agent and put it through its paces. Ask it what things cost, try to catch it out, ask for something it will not know. Most people ring expecting a robot and hang up having had a conversation. No sign-up, no card, answering around the clock.

Call the demo line 03 242 1183 Or leave your number in the form below and it will ring you instead.

The calls you are losing are during the day.

Everyone buys an answering service for the nights. That is not where the work goes missing.

The busiest hour is nine in the morning.

In the call reports our trades customers have shared with us, the clear majority of answered calls arrive inside ordinary business hours. Crews are being dispatched, yesterday's jobs are being chased and every customer who thought about their problem overnight rings at once. One electrical contractor takes its heaviest volume at 9am. One person on a desk cannot absorb that, and the overflow used to be a busy tone.

A missed call is someone else's job.

A building manager with water coming through a ceiling rings three contractors, not one, and books whoever picks up. That is a four-figure job decided by who answered, not by who was better. Work out what yours are worth on the missed call calculator.

And it does rather more than answer the phone.

The same agent, the same knowledge of your business, pointed in the other direction. Every one of these is live today and runs alongside your Simpro jobs.

Appointment reminders so someone is on site when your van turns up. Win-back calls to customers you have not seen in a year. Review requests the day after the job. You load the list, it makes the calls.

Connected to your Xero, the agent rings the invoices that have gone past due, in your name and your wording, and writes the outcome and any promise to pay onto the invoice. No commission, no collection agency.

The same brain in a chat widget on your site, in text or voice, from $49 a month. It knows the same prices and the same availability as the one on the phone.

Phone surveys that ring your customer list, ask what you want to know and report the answers back, without anyone on your team sitting on hold.

Storm week, callouts everywhere, forty calls in an hour. Call centre plans answer five, ten or fifteen at the same moment, with no queue and no hold music.

The Personal Assistant answers one person's own line rather than the business number, screens the rubbish and texts you what mattered. From $89 a month.

Frequently asked.

Nine of the questions we hear most. If yours isn't here, ring our live demo agent on 03 242 1183, it'll either answer or queue a callback from a human.

Do I have to change my phone number?
No. Talkify works by call forwarding from the number your customers already have. You choose when it picks up: always, only when you are already on a call, only when nobody answers within a few rings, or only outside your hours. It takes a few minutes to set up with your phone provider and you can turn it off just as fast. Nothing is ported and no hardware is installed.
How does it connect to my Simpro?
Through Simpro's own REST API, against your own build. You tell us your build name, which is the first part of the web address you already use, then an administrator on your account goes to System, then Setup, then API, and approves Talkify as an application. Simpro emails you a key file and you paste the token in. There is no developer work and nothing to install, and removing the application inside Simpro cuts us off at your end whenever you want.
Why do you need my build name?
Because Simpro is not one website. Every customer runs their own build at their own address, so unlike a system with a single sign-in page there is nowhere for us to send you until you tell us which build is yours. It is the first thing on the setup screen and it is the only thing we genuinely cannot work without.
What actually lands in Simpro after a call?
A lead, with the customer and the site both created properly and linked, carrying the caller's name, their number and a description of the job in their own words. A note of the call goes on the customer record either way. Where you switch them on, a quote request arrives in your quoting pipeline ready to price, and a booked visit arrives as a job with a schedule block against a technician. If the caller is already on your account, the agent recognises the number and greets them by name rather than treating them as a stranger.
My customers are companies, not people. Will it still know who is ringing?
Yes, and this is the case most systems get wrong. On a commercial account the customer record is the company and the person ringing is a contact underneath it with their own mobile. The agent checks both, so a property manager ringing about one of thirty sites is recognised as themselves and matched back to the right account, rather than being treated as an unknown number because the mobile is not on the company record.
We run more than one company on our build.
That is handled. Multi-company builds keep separate customers, jobs and schedules under the same login, and everything the agent reads or writes is scoped to the one company you choose. Press Test connection and it lists the companies on your build with their numbers so you can pick the right one. Get that setting wrong and the agent simply will not see your jobs, which is usually the first sign something needs changing.
Can I pick which bits it does?
Yes, and they are separate switches. Recognising callers, answering "when is someone coming", taking enquiries as leads, raising quote requests and scheduling visits are each turned on or off on their own, and the agent is only given the abilities you tick. Quotes and scheduling are off until you turn them on, because they write into your pipeline and your board. Change a switch and your agent is updated within a minute or two.
Will it double-book a technician?
No, because it reads before it writes. The agent reads what is already on your schedule board, keeps the travel time you set clear either side of an existing job, and offers only times inside the working hours and days you choose, for the technicians you have ticked. It cannot invent a slot. Before it writes anything it re-checks that the time is still free, so a slot the office filled while the caller was still talking gets caught rather than double-booked. If you have not nominated anyone the agent offers no times at all, because Simpro will not accept a scheduled block with nobody on it and we would rather it took a message than guessed.
Does it give people prices over the phone?
No, and it is told in as many words not to. When someone wants a price, the agent takes the scope in detail and raises it in Simpro as a quote in your pipeline, ready for you to price and send. Nothing is priced, nothing is approved and nothing goes to the customer until you send it.
Does it only answer after hours?
That is the assumption most people start with, and the numbers say otherwise. In the call reports our trades customers have shared with us, the clear majority of calls the agent answers arrive during ordinary business hours, because the phone rings while the person who would pick it up is already on another call or dispatching crews. One electrical contractor takes its heaviest volume at nine in the morning. It covers both: the overflow during the day and the calls that used to hit voicemail at night.
Can it deal with an emergency?
It triages first and takes details second, which is the right order. On a leak it establishes whether the water is still running and whether the caller can isolate it. On a gas smell it tells them to leave the property and ring the emergency line before anything else. You set the rules for what counts as urgent, and those calls get warm-transferred to whoever is on call, with the context already gathered rather than starting from scratch.
What does it cost?
Talkify business agents are $129/month at the founding rate for your first 3 months, then $199, including 100 minutes of calls, with extra minutes from 10c each. There is no setup fee, no per-call charge and no lock-in, so a flat-out week costs the same as a quiet one. That sits alongside whatever you already pay Simpro; we do not touch your Simpro subscription.
Where does my call data live?
Audio, transcripts and call details are stored in New Zealand data centres and encrypted at rest with AES-256, in line with the Privacy Act. Those recordings contain your customers' personal information, which makes you responsible for them, so it is a fair question to ask any provider and get the answer in writing.
I use Fergus or Tradify, not Simpro.
The phone side is identical no matter what you run your jobs in, and what changes is only how the job gets across. There is a Fergus version of this page, and Tradify gives every account an enquiries email address so we can send the job straight into your Tradify enquiries inbox off the back of the call. Tell us what you use and we will tell you honestly what we can and cannot do with it.

Have a look around.

The same agent, the same phone side, writing into Fergus rather than Simpro.

Fault triage, callbacks and the nine in the morning rush absorbed without a receptionist.
